Behind the Work

Custom Church Shirts: Planning Your Order

A church shirt order usually begins with people: the volunteers welcoming families, the students leaving for a retreat, or the team preparing to serve somewhere new. A clear plan helps the finished apparel belong to that purpose.

This guide walks through the decisions to make before requesting custom church shirts and ministry apparel from Shepherd & Lamb. You do not need a finished design to start. A useful brief gives us enough direction to discuss the right garment, decoration and quote for your group.

Start with the gathering and the people

Write down who will wear the apparel, what they will be doing and what you want the design to communicate. A shirt for an outdoor mission project may need a different fabric and fit from an embroidered layer for a welcome team. An event shirt can celebrate one gathering; an ongoing ministry shirt may need to make sense throughout the year.

  • VBS: consider children's and adult sizes, volunteer identification and whether different shirt colors would help distinguish groups.
  • Youth groups and retreats: start with the event theme, the people attending and a design they will want to wear afterward.
  • Mission trips and outreach: think about the activities, climate and how the team should be identified while serving.
  • Worship and praise nights: decide whether the apparel is for the team, event volunteers or the wider gathering.
  • Church staff and volunteers: consider a consistent logo, readable role information and garments suited to different responsibilities.
  • Bible studies, baptism and Christian schools: begin with the purpose of the group or occasion, then choose wording and artwork that reflect it.

Choose one clear message

Your church name, logo, Scripture or event theme can be the starting point. Decide which element deserves the most attention. A small logo and a short phrase create a different impression from a large illustration or a full passage.

If you want a Bible verse on the garment, include the reference, the translation and the exact wording you want considered. Check spelling, punctuation, dates and names before approving artwork. A long passage may need more space than a small chest placement provides.

Discuss the garment before finalizing the decoration

Fit, fabric, color and placement all influence the finished result. Think about whether your group needs T-shirts, a warmer layer or a combination. Ask about the measurements for each proposed style, particularly when an order includes both youth and adult garments.

Printed artwork can accommodate a larger visual composition. Embroidery adds a stitched finish that can suit a smaller logo or wordmark. The design and garment need to work together, so we review those choices as part of the project. Our guide to printed and embroidered Christian apparel explains the visual differences.

Gather sizes and quantities in one place

An initial estimate is enough to begin a conversation. Before the order is approved, collect the final garment style, color and size for each person. Use the measurements for the specific garment instead of assuming that every style fits the same way.

Choose one person to maintain the list and approve changes. If you want extra pieces for late registrations or replacement volunteers, include them in the discussion. Availability, sizing options and any order requirements are confirmed for the selected garments.

Work backward from the date you need the order

Tell us when the apparel needs to be in your hands, as well as the event date. Allow time for the consultation, garment selection, artwork review, final size collection, production and shipping. These are separate steps, and artwork changes or missing sizes can affect the plan.

We confirm production and shipping details for your project before it moves forward. Contact us early about a fixed deadline so we can review it with the actual order requirements.

What to include in your quote request

  • Your church or ministry name and a main contact.
  • The event, team or purpose of the apparel.
  • Your approximate quantity and expected youth and adult sizes.
  • The date you need the completed order.
  • Preferred garment types and colors.
  • Your logo, wording, Scripture reference or design idea.
  • Any preferences for printing, embroidery or placement.

Special quantity pricing is discussed during consultation. The quote depends on the garment, decoration, quantity and other project details. We work through those choices with you so the quote reflects what your ministry actually needs.

Make the approval easy to review

Before approving the order, review the garment selections, size list, colors, artwork, placement, pricing and agreed timing together. Keep one final version of the approved details so everyone is working from the same information.
